
These two acronyms come up in almost every conversation about digitalisation, and many entrepreneurs use them as if they were interchangeable. They are not. A CRM and an ERP solve different problems, cost differently and are implemented differently. The wrong choice means months lost and a team that goes back to spreadsheets. Here is how to tell them apart and how to decide.
CRM: everything about the customer
CRM stands for Customer Relationship Management. It is the system where your relationship with customers lives, from first contact to the tenth order:
- leads from the website, phone, Facebook, trade fairs;
- quotes sent, followed up, won or lost;
- conversation history and follow-up tasks;
- the sales pipeline, with forecasts;
- e-mail and WhatsApp campaigns to existing customers.
The sign that you need a CRM: you have more than 2-3 people talking to customers and nobody knows exactly who promised what, to whom and when. Quotes get lost in inboxes, and the question “what happened with client X?” gets three different answers.
ERP: everything about operations
ERP stands for Enterprise Resource Planning. It is the administrative backbone of the company:
- stock and warehouse management;
- purchasing, suppliers, replenishment orders;
- invoicing, receivables, payments, integration with national e-invoicing and SAF-T;
- production, recipes, costing;
- accounting, payroll, financial reports.
The sign that you need an ERP: the stock in the computer does not match the stock in the warehouse, you invoice from two different programs, and at month-end the accountant receives paper folders and spreadsheets to re-enter manually.
Where they meet and where they get confused
The confusion arises because both systems share modules: a CRM can issue an invoice, and an ERP has a customer list. The difference is in the centre of gravity. A CRM is built around the question “how do we sell more?”, an ERP around the question “how do we operate without errors?”.
A simple rule we use with clients:

What it realistically costs
The prices below are for SMEs in Romania and include implementation, not just the licence:
- Cloud CRM (Pipedrive, HubSpot, Zoho, Bitrix24): 15-60 EUR per user per month, plus 500-1,500 EUR for configuration and training.
- ERP for SMEs (Romanian solutions or Odoo): 2,000-8,000 EUR implementation, plus 30-100 EUR per user per month or an annual licence.
- Custom CRM or ERP, built around your exact needs: from 2,500 EUR (Custom Platform), no monthly per-user costs, full ownership of the code.

The correct order of implementation
- Audit your processes before choosing software. A new system on top of a chaotic process produces digital chaos. We begin every Digital Transformation project with a 2-3 day audit.
- Start with the biggest pain. If you are losing customers, CRM. If you are losing money in stock and invoicing, ERP.
- Integrate, do not duplicate. The website, the online shop, the accounting and the CRM/ERP must talk to each other. An order entered twice is a mistake waiting to happen.
- Train the team and enforce a single source of truth. If some data stays in spreadsheets, the system fails within three months.
- Measure. Order processing time, quote conversion rate, days to payment.
Mistakes we see often
- Buying the largest ERP on the market for a company of 8 people.
- A CRM used only by the manager while the sales team keeps its own notebooks.
- No e-invoicing integration, worked around with manual export-import for every invoice.
- Implementation without an internal owner; the supplier leaves, the system is left orphaned.
